Install the ProSignature extension

What ProSignature is

ProSignature is a free email signature generator for Gmail and Google Workspace, Outlook and Microsoft 365, and Apple Mail. You enter your work email, it pulls your logo and brand colours from your website, and you pick from 13 email-safe templates with a live preview of how the signature will look in a real message. On the free plan the signature carries one small 'Created with ProSignature' line underneath, linked to prosignature.co; Pro removes it.

This extension is the Gmail delivery method. For Outlook, Microsoft 365 and Apple Mail, ProSignature gives you clean copy-paste HTML instead, and companies can deploy one locked brand design across a team. On Google Workspace, a super admin can approve ProSignature once and every mailbox in the directory gets its signature, with no extension to install. The free plan needs no credit card; paid plans add premium templates and team features, and remove the credit line.

Three steps, about two minutes

1. Add it to Chrome from the button above. That opens our official Chrome Web Store listing — one click, no files to download and nothing to unzip.
2. Open your signature at prosignature.co/app once. The page hands your signature to the extension by itself — there is nothing to click and no account to connect. (Had the page open before you installed? Reload it once.)
3. Open Gmail and hit Compose. Your signature is already at the bottom of the message. It works in replies and forwards too, and it is added exactly once.

What the extension can and can't do

It asks for no Google permission at all. The signature is written into the compose window in your own browser, the way you would type it — so there is no sign-in, no consent screen, and nothing for Google to approve. Your signature is stored locally in the browser. The extension gets it from your own ProSignature page and, with a private sync key, checks your account for the latest version every 6 hours, when Chrome starts and when you open Gmail; that key and the reason for the check are all it sends us. We never receive a copy of your mail, and the extension cannot read, send or delete it. How the extension handles your data.

It puts signatures into Gmail, including Google Workspace accounts on a custom domain. It does not install into Outlook or Apple Mail — Microsoft and Apple offer no equivalent — so for those, use the copy-and-paste method on your signature's Install step, which takes about the same time.

Optional: make it permanent in Gmail's settings

The steps above cover Gmail in this browser. If you also want the signature saved into Gmail's own settings — so any browser you sign into uses it, and so does the Gmail phone app for new messages when its own mobile signature is empty — open the Install step on your signature and choose ⚡ Connect Gmail. That route asks Google for permission to manage your basic Gmail settings (gmail.settings.basic) and to see your email address, so the signature goes to the right mailbox. We use that permission only to write your signature; it gives no access to your messages.

This is an upgrade, not a requirement. Skip it and the extension still works everywhere you compose in this browser.
